Sophia ICT Accounts for graduating students and retiring faculty members will be deleted on the date below:

• Graduating students : March 31st, 2023 (Fri.) 17:00
  
• Students proceeding to master/doctorial program or changing department
  : March 31st, 2023 (Fri.) 9:00
  
• Retiring teachers / researchers : April 1st (Sat.) 9:00
  

Read the following information carefully and make sure what you have to do regarding the renewal/deletion of your account.

Students

Students NOT graduating in March, 2023

Sophia Mail:　Availability after April 1st	OK ~@eagle.sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK

• When you are NOT graduating and are NOT changing department (= Student ID will not be changed), the account will be prolonged automatically.
• If you will repeat a year at Sophia, the account will be prolonged automatically.

Graduating students in March, 2023

Degree Students

Undergraduate (A) / Graduate student (B,C,D) / Law School student (E) / Course of Midwifery student (W) /
Junior College Division Students (T)

Sophia Mail:　Availability after March 31st 17:00	OK ~@eagle.sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	NG

• Services provided by ICT Office except Sophia Mail will be unavailable after March 31st (Fri.) 17:00.
• Do not forget to backup your data, such as files in My Folder, before being deleted.
• You can keep using your Sophia Mail address after your graduation.
• You will not be able to use One Drive anymore, and the data in One Drive will be deleted.
• You will not be able to use free Office neither. Refer to here for more details.
• Zoom license will be deleted and meeting timeout will be 40 minutes.
• Junior College Division Students will become able to change your e-mail address.

Non-degree students

Exchange student (H) / Non-Degree student (I) / Research worker (K,L) / Credited auditor (J) / Auditor (M,N) / Other student (O) / Internal Exchange (Credit Transfer) student (P)

• Services provided by ICT Office will be unavailable after March 31st (Fri.) 17:00.
• Do not forget to backup your data, such as files in My Folder or OneDrive, before being deleted.
• Please be reminded that you can not use your mail address “~@eagle.sophia.ac.jp” after your finish.

Students proceeding to master/doctorial program or changing department in April, 2023

Sophia Mail:　Availability after April 1st	OK ~@eagle.sophia.ac.jp *Log-in ID will be changed.
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK *Log-in ID will be changed.

• You can continue to use your e-mail address and the My Folder (O drive). Note that your user ID will be changed to your new Student ID.
• The account with the new student number will be available from March 31 (Fri.) 17:00. Please use the old student number until March 31 (Fri.) 9:00. Please note that the services provided by the ICT Office, including Sophia Mail, will not be available from 9:00 to 17:00.
  
• You will be handed your new account notice as you receive new student ID card.
• Your e-mail address is active during the period above, you cannot just login.
• If you need to check your Sophia Mail during the period above, please set transfer settings to your other e-mail address in advance. (You can not send e-mails from Sophia Mail address though.)

Teachers/Researchers

Teachers/Researchers NOT retiring in March, 2023

Sophia Mail:　Availability after April	OK ~@sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK

• When you are a full-time faculty member, your account is active until retirement.

Teachers/Researchers retiring in March, 2023

Full-time / Special Appointment / Professional / Transferred / Special Contract Teachers
Full-time Staff members

Sophia Mail:　Availability after April	New mail address will be provided. ~@eagle.sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	NG

• Account will be unavailable on April 1st. After that, you will not be able to use services provided by ICT Office except @eagle.sophia.ac.jp email address.
  
• Do not forget to backup your data, such as files in My Folder or OneDrive, before being deleted.
• Your mail address “~@sophia.ac.jp” which you are using during you work for Sophia University will be expired and mail data will be deleted when you retire.
• Please use your new mail address “~@eagle.sophia.ac.jp” after your retirement. For more details, please refer to the document “Distribution of the Sophia e-mail address (@eagle.sophia.ac.jp)” given by HR Office.
• If you are retiring but will be visiting fellow or registered researchers etc., please submit the “Sophia ICT Account Application” Form.

Honorary member teachers / Honorary member teachers engaged from Foreign Countries
Researchers(PD, PJPD)

• Services provided by ICT Office will be unavailable after April.
• Do not forget to backup your data, such as files in My Folder or OneDrive, before being deleted.
• Please be reminded that you can not use your mail address “~@sophia.ac.jp” after your retirement.
• If you are retiring but will be researchers etc., please submit the “Sophia ICT Account Application” Form.

Part-time Teachers

Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK	NG

• If you will not have any class during the AY2023, you cannot use services provided by ICT Office.
• Even if you will have class(es) during the AY2023, you cannot use services provided by ICT Office until your enrollment is confirmed by HR Office.
• If you will have class(es) in AY2023 and already have ICT Office account, you don’t need to apply again.
• If you are retiring but will be researchers etc., please submit the “Sophia ICT Account Application” Form.

Emeritus professors, Going to be Emeritus professors

Sophia Mail:　Availability after April	OK ~@sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK

• For emeritus professors, the account and files are prolonged automatically.
• New mail address for retirees (~@eagle.sophia.ac.jp) will not be provided.

Visiting Fellows / Registered Researchers / Others

• ICT Office will accept application for using your account in AY2023 after April.
