Information

Sophia ICT Accounts for graduating students and retiring faculty members will be deleted on the date below:

• Graduating students: March 31, 2025 (Mon.) 17:00
  
• Students proceeding to master/doctoral program or changing department
  : March 31, 2025 (Mon.) 9:00
  
• Retiring teachers/researchers: April 1 (Tue.) 9:00
  

Please read the following information carefully to understand what is required to renew/delete your account.

Students

Students NOT graduating in March 2025

• As long as you do NOT graduate or change departments (= Student ID will not be changed), the account will be automatically prolonged.
• If you will repeat the year at Sophia, the account will be automatically prolonged.

Graduating students in March 2025

Degree Students

Undergraduate (A) / Graduate student (B, C, D) / Law School student (E) / Course of Midwifery student (W) /
Junior College Division Students (T)

• Services provided by the ICT Office except Sophia Mail will be unavailable after March 31 (Mon.) at 17:00.
• Please don’t forget to backup any data to save, such as files of My Folder/OneDrive or email data, before deleting it.
• You can continue to use your Sophiamail address after your graduation.
• OneDrive will no longer be available, and all stored data will be deleted.
• You will not be able to use free Office either. Refer to here for more details.
• Zoom license will be deleted and the meeting timeout will be 40 minutes.
• Junior College Division Students will be able to change their e-mail address.

Non-degree students

Exchange student (H) / Non-Degree student (I) / Research worker (K, L) / Credited Auditor (J) / Auditor (M) / Other student (O) / Internal Exchange (Credit Transfer) student (P)

• Services provided by the ICT Office will be unavailable after March 31 (Mon.) at 17:00.
• Please don’t forget to backup any data to save, such as files of My Folder/OneDrive or email data, before deleting it.
• Please be reminded that you can not use your email address “~@eagle.sophia.ac.jp” after you finish.

Students proceeding to master/doctorial program or changing department in April 2025

• You can continue to use your e-mail address and the My Folder (O drive). Note that your user ID will be changed to your new Student ID.
• The account with the new student number will be available from March 31 (Mon.) at 17:00. Please use the old student number until March 31 (Mon.) at 9:00. Please note that the services provided by the ICT Office, including Sophia Mail, will not be available from 9:00 to 17:00.
  
• You will be handed your new account notice as you receive a new student ID card.
• Your e-mail address is active during the period above, you cannot just log in.
• If you need to check your Sophia Mail during the period above, please set forwarding settings to your other e-mail address in advance. (You can not send emails from the Sophiamail address though.)

Teachers/Researchers

Teachers/Researchers NOT retiring in March 2025

• When you are a full-time faculty member, your account is active until retirement.

Teachers/Researchers retiring in March, 2025

Full-time / Special Appointment / Professional / Transferred / Special Contract Teachers
Full-time Staff members

• The account will be unavailable on April 1. After that, you will not be able to use services provided by the ICT Office except @eagle.sophia.ac.jp email address.
  
• Please don’t forget to backup any data to save, such as files of My Folder/OneDrive or email data, before deleting it.
• Your mail address “~@sophia.ac.jp” which you are using during your work for Sophia University will be expired and mail data will be deleted when you retire.
• Please use your new mail address “~@eagle.sophia.ac.jp” after your retirement. For more details, please refer to the document “Distribution of the Sophia e-mail address (@eagle.sophia.ac.jp)” given by the HR Office.
• If you are retiring but will be visiting fellow or registered researchers etc., please submit the “Sophia ICT Account Application” Form.

Honorary member teachers
Researchers(PD, PJPD)

• Services provided by the ICT Office will be unavailable after April.
• Please don’t forget to backup any data to save, such as files of My Folder/OneDrive or email data, before deleting it.
• Please be reminded that you can not use your email address “~@sophia.ac.jp” after your retirement.
• If you are retiring but will be a researcher etc., please submit the “Sophia ICT Account Application” Form.

Part-time Teachers

• If you do not have any class during the AY2025, you cannot use the services provided by the ICT Office.
• Even if you will have class(es) during the AY2025, you cannot use services provided by the ICT Office until your enrollment is confirmed by the HR Office.
• If you have class(es) in AY2025 and already have an ICT account, you don’t need to apply again.
• If you are retiring but will be a researcher etc., please submit the “Sophia ICT Account Application” Form.

Emeritus professors, Going to be Emeritus professors

• For emeritus professors, the account and files are automatically prolonged.
• A new mail address for retirees (~@eagle.sophia.ac.jp) will not be provided.

Visiting Fellows / Registered Researchers / Others

• The ICT Office will accept applications for using your account in AY2025 after April.
