Sophia ICT Accounts for graduating students and retiring faculty members will be deleted on the date below:

• Graduating students: Tuesday, March 31, 2026, 17:00
  
• Students proceeding to master/doctoral program or changing department
  : Tuesday, March 31, 2026, 9:00
  
• Retiring teachers/researchers: Wednesday, April 1, 9:00
  For Visiting Fellows or registered Researchers, the ICT Office will confirm continued use after April 2026.

Please read the following information carefully to understand what is required to renew/delete your account.

Students

Students NOT graduating in March, 2026

• Your account will automatically continue as long as you do NOT graduate or change departments or majors (= Student ID does not change) during your enrollment.
• Students who repeat a year will have their accounts automatically continued.

Graduating students in March, 2026

Degree Students

Undergraduate (A) / Graduate student (B, C, D) / Law School student (E) / Course of Midwifery student (W) /
Junior College Division Students (T)

• From Tuesday, March 31, 17:00, services provided by the ICT Office, excluding Sophia Mail, will not be available.
• Please be sure to back up any data to save, such as files in My Folder/OneDrive or email data, before deleting it.
• You can continue to use your Sophiamail after your graduation.
• OneDrive will no longer be available, and all stored data will be deleted.
• You will not be able to use free Office either. Refer to here for more details.
• Zoom accounts registered with Sophiamail address will no longer be available.
• Junior College Division Students will be able to change their e-mail address.

Non-degree students

Exchange student (H) / Non-Degree student (I) / Research worker (K, L) / Credited Auditor (J) / Auditor (M) / Other student (O) / Internal Exchange (Credit Transfer) student (P)

• From Tuesday, March 31, 17:00, Services provided by the ICT Office will not be available.
• Please be sure to back up any data to save, such as files in My Folder/OneDrive or email data, before deleting it.
• Please note that Sophiamail “~@eagle.sophia.ac.jp” will be unavailable after completion.

Students proceeding to master/doctoral program or changing departments in April, 2026

• You can continue to use your email address and My Folder (O drive). Your login ID will be changed to a new Student ID.
• The account with the new student number will be available from Tuesday, March 31, 17:00. Please use the old student number until Tuesday, March 31, 9:00. Please note that the services provided by the ICT Office, including Sophia Mail, will NOT be available from 9:00 to 17:00.
  
• The new Account Notice will be distributed with a new student ID card.
• Even though you cannot log in, your email will still be valid during the above period.
• If you want to check your Sophia Mail during the period above, please set up forwarding to another email address in advance. (However, you can NOT send emails from Sophiamail)

Teachers/Researchers

Teachers/Researchers NOT retiring in March, 2026

• For full-time faculty and staff, an account is valid until retirement.

Teachers/Researchers retiring in March, 2026

Full-time / Special Appointment / Professional / Transferred / Special Contract Teachers
Full-time Staff members

• After April 1st, services provided by the ICT Office other than the “@eagle.sophia.ac.jp” email will not be available.
  
• Please be sure to back up any data to save, such as files in My Folder/OneDrive or email data, before deleting it.
• The email address “~@sophia.ac.jp” used during employment will become unavailable upon retirement, and the contents of the mailbox will also be deleted.
• A new email address “~@eagle.sophia.ac.jp” will be provided after retirement. For details, please refer to the document “Distribution of the Sophia e-mail address (@eagle.sophia.ac.jp)” by the HR Office.
• Zoom accounts registered with Sophia Mail will no longer be available.
• If you are retiring but continuing to work as a researcher etc., please submit the “Sophia ICT Account Application” form to apply.

Honorary member teachers
Researchers(PD, PJPD)

• Services provided by the ICT Office will be unavailable after April.
• Please be sure to back up any data to save, such as files in My Folder/OneDrive or email data, before deleting it.
• Please note that you CANNOT use your email address “~@sophia.ac.jp” after retirement.
• If you are retiring but continuing to work as a visiting fellow or a researcher, please submit the “Sophia ICT Account Application” form to apply.

Part-time Teachers

• If you do not have any class during the AY2026, you cannot use the services provided by the ICT Office.
• Even those teaching a class(es) in AY2026 will not be able to use the services provided by the ICT Office until their employment is confirmed if the HR Office approval has not been finalized by March.
• Those who will be teaching a class(es) in AY2026 and already have an ICT account do not need to reapply.
• If you are retiring but will be a visiting fellow or a researcher, please submit the “Sophia ICT Account Application” Form.

Emeritus professors, Going to be Emeritus professors

• For emeritus professors will have their accounts continued after retirement.
• A new mail address (~@eagle.sophia.ac.jp) will not be provided upon retirement.
• Zoom accounts registered with Sophia Mail will no longer be available.

Visiting Fellows / Registered Researchers / Others

• The ICT Office will confirm continued use after April 2026. Until then, you can continue to use the service.
