Due to the schedule change of orientation sessions for incoming students, ICT office will change the maintenance schedule of Sophia ICT account as follows:

Sophia ICT Accounts for graduating students and retiring faculty members will be deleted on the date below:

• Graduating students : March 31, 2020 (Tue.) 9:00 (not changed)
  
• Students proceeding to master/doctor program / changing department
  : a couple of days before orientation date
  
• Retiring teachers / researchers : Early April, 2020 (not changed)
  

Read the following information carefully and make sure what you have to do regarding the renewal/deletion of your account.

Students

Students NOT graduating in March, 2020

Sophia Mail:　Availability after April	OK ~@eagle.sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK

• When you are NOT graduating and are NOT changing department (= Student ID will not be changed), the account will be prolonged automatically.
• If you are studying another year at Sophia, the account will be prolonged automatically.

Graduating students in March, 2020

Regular Students

Undergraduate (A) / Graduate student (B,C,D) / Law School student (E) / Course of Midwifery student (W) /
School of Social Welfare Students (S) / Junior College Division Students (T)

Sophia Mail:　Availability after March 31 5:00pm	OK ~@eagle.sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	NG

• Services provided by ICT Office except Sophia Mail will be unavailable after March 31 (Tue.) 5:00pm.
• Do not forget to backup your data, such as files in My Folder, before being deleted.
• You can keep using your Sophia Mail address after your graduation.
• You will not be able to use One Drive anymore, and the data in One Drive will be deleted.
• You will not be able to use free Office neither. Refer to here for more details.
• Junior College Division Students will become able to change your e-mail address.

Non-regular students

Exchange student (H) / Non-Degree student (I) / Research worker (K,L) / Credited auditor (J) / Auditor (M,N) / Other student (O) / Internal Exchange (Credit Transfer) student (P)

• Services provided by ICT Office will be unavailable after March 31 (Tue.) 5:00pm.
• Do not forget to backup your data, such as files in My Folder, before being deleted.
• Please be reminded that you can not use your mail address “~@eagle.sophia.ac.jp” after your finish.

Students proceeding to master/doctor program / changing department in March, 2020

 

Sophia Mail:　Availability after April	OK ~@eagle.sophia.ac.jp *Log-in ID will be changed.
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK *Log-in ID will be changed.

• You can continue to use your e-mail address and the My Folder (O drive). Note that your user ID will be changed to your new Student ID.
• Due to preparation for new accounts, after changing your user ID, you cannot use all services provieded by ICT office including Sophia Mail without your new user ID. Your ID will be changed a couple of days before orientation date.
  
• You will be handed them as you receive new student ID card in April.
• Your e-mail address is active during the period above, you cannot just login.
• If you need to check your Sophia Mail during the period above, please set transfer settings to your other e-mail address in advance. (You can not send e-mails from Sophia Mail address though.)

Teachers/Researchers

Teachers/Researchers NOT retiring in March, 2020

Sophia Mail:　Availability after April	OK ~@sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK

• When you are a full-time faculty member, your account is active until retirement.
• When you are a researcher, you need to confirm your will of continuation (ICT Office will contact you in April). Your account will be available in April.

Teachers/Researchers retiring in March, 2020

Full-time / Special Appointment / Professional / Transferred / Special Contract Teachers
Full-time Staff members

Sophia Mail:　Availability after April	New mail address will be provided. ~@eagle.sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	NG

• Account will be unavailable in early April. After that, you will not be able to use services provided by ICT Office except @eagle.sophia.ac.jp email address.
  
• Do not forget to backup your data before being deleted.
• Your mail address “~@sophia.ac.jp” which you are using during you work for Sophia University will be expired and mail data will be deleted when you retire.
• Please use your new mail address “~@eagle.sophia.ac.jp” after your retirement. For more details, please refer to the document “Distribution of the Sophia e-mail address (@eagle.sophia.ac.jp)” given by HR Office.
• If you are retiring but will be visiting fellow or registered researchers etc., please submit the Application For use of Computer System Form.

Honorary member teachers / Honorary member teachers engaged from Foreign Countries

Sophia Mail:　Availability after April	NG
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	NG

• Services provided by ICT Office will be unavailable after early April.
• Do not forget to backup your data before being deleted.
• Please be reminded that you can not use your mail address “~@sophia.ac.jp” after your retirement.
• If you are retiring but will be researchers etc., please submit the “Application For use of Computer System” Form.

Part-time Teachers

	Having classes in 2020	NOT having classes in 2020
Sophia Mail:　Availability after April	OK ~@sophia.ac.jp	NG
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK	NG

• If you will not have any class during the AY2020, you cannot use services provided by ICT Office.
• Even if you will have class(es) during the AY2020, you cannot use services provided by ICT Office until your enrollment is confirmed by HR Office.
• If you will have class(es) in AY2020 and already have ICT Office account, you don’t need to apply again.
• If you are retiring but will be researchers etc., please submit the “Application For use of Computer System” Form.

Emeritus professors, Going to be Emeritus professors

Sophia Mail:　Availability after April	OK ~@sophia.ac.jp
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	OK

• For emeritus professors, the account and files are prolonged automatically.
• New mail address for retirees (~@eagle.sophia.ac.jp) will not be provided.

Visiting Fellows / Registered Researchers / Others

Sophia Mail:　Availability after April	NG
Services provided by ICT Office (PC Rooms, Moodle, Wi-Fi, VPN etc.)	NG

• If you will retire or ICT Office cannot confirm your will of continuation, you will not be able to use services privided by ICT Office after April.
• Do not forget to backup your data before being deleted.
• Please be reminded that you can not use your mail address “~@sophia.ac.jp” after your retirement.
