The Sender Name on Sophia Mail

From August 14th, 2020 (Fri.), the “Sender (From)” which is displayed on the recipients’ mailbox is changed as below:

  • When a faculty member sends a mail from their account or shared mailbox, the sender’s name is as follows:
    • When you send to @sophia.ac.jp:
      The sender’s name is your name registered in the Sophia Integrated Database System.
    • When you send to other than @sophia.ac.jp, including Sophia mailing lists (@ml.sophia.ac.jp) or students (@eagle.sophia.ac.jp):
      The sender’s name will be in alphabetical characters (not in Japanese).
  • Faculty members, graduates, and retired faculty members can change their sender’s name.
  • Students CANNOT change their sender’s name.

Background

The sender’s name in the Sophia Integrated Database System has been used as the sender’s name in emails, but there have been requests to use a different name from the registered name for reasons such as “Want to include uppercase and lowercase in the name”.

Formerly, when using Outlook or other email software to connect via POP/IMAP, it was possible to set any string of characters to be displayed as the sender’s name.

However, around September 2018, Microsoft updated the system so that the name in the Sophia Integrated Database System is always used, ignoring personal settings, for the purpose of preventing sender name spoofing.

Therefore, starting in February 2019, a new feature was added to set the sender’s name of emails separately from the name in the Sophia Integrated Database System.

[What is changed?]

  • When you send to @sophia.ac.jp:
    the sender name is your name which is registered on the Sophia Integrated Database System.
  • When you send to other than @sophia.ac.jp (including students):
    the sender name is any name you like. (the same as before)

[Setting your sender name]

  • You can change your sender name (Family name, First name) in alphanumeric characters, space and some of the symbols.
    *When you send to @sophia.ac.jp, the name is not used.

  • When you don’t change the sender name, your name which is registered in Sophia Integrated Database System is used.

Students (@eagle.sophia.ac.jp)

Students cannot change the sender name.
